Automation Specialist (Zapier, AI, CLIO) for Estate Planning Law Firm
Description
We’re an estate planning law firm seeking automation pro: Help us connect CLIO + Zapier + AI (and tell us what we do not know yet).
Our goal is to eliminate repetitive manual tasks in CRM management, client intake, scheduling, and marketing engagement tracking by leveraging Zapier, AI tools, and other integrations.
We currently use CLIO (Grow & Manage) as our CRM and case management system. We’re familiar with Zapier, ChatGPT, and Mailchimp, but we are open to your recommendations on the best tools and workflows for our needs.
Responsibilities
Audit our current systems (CLIO + email + scheduling + reporting).
Design and implement automation workflows (Zapier or other tools you recommend).
Connect CLIO with marketing/email tools (e.g., Mailchimp, ActiveCampaign, or alternatives).
Automate client intake, task assignments, and scheduling flows.
Implement automated tracking for client engagement (“last marketing touch” field).
Build simple dashboards for ROI, revenue run rate, and funnel tracking.
Document all automations with screenshots and SOPs.
Train our staff on monitoring and troubleshooting.
Requirements
Strong experience with Zapier (or equivalent automation platforms).
Experience with legal/professional CRMs (CLIO experience is a big plus).
Familiarity with email marketing platforms (Mailchimp, ActiveCampaign, or others).
Comfort with AI-driven automations (ChatGPT API, automated client responses, data tagging, etc.).
Ability to recommend better tools/stack if there are smarter, lower-cost, or more efficient options.
Clear communicator — must be able to explain solutions in plain English to non-technical staff.
Nice to Have
Prior work with law firms or financial services firms.
Experience with email list hygiene (ZeroBounce, NeverBounce).
Knowledge of building automated dashboards for marketing ROI and client pipeline reporting.
Project Scope & Timeline
Initial engagement: 30–60 days (part-time, project-based).
Deliverables:
Audit of current workflows + recommended stack.
2–3 live automation workflows in CLIO/email/scheduling.
Documentation & training handoff.
Potential for ongoing work as we expand automation firmwide.
