We’re hiring a part-time Executive Assistant to work directly with our founder. This isn’t a generic admin job — we need someone who lives and breathes organization, anticipates needs, and thrives in a digital-first environment. If calendars, checklists, and progress reports are your love language, this role is for you.
This is a 10–15 hrs/week, remote role with overlap in California hours (Pacific Time).
What You’ll Do
• Inbox & Calendar Ownership: Prioritize emails, draft responses, and keep the founder’s schedule clean, organized, and aligned with priorities.
• Marketing & Collab Inquiries: Manage inbound requests (podcasts, partnerships, LinkedIn messages, collabs), filter what matters, and respond professionally.
• Client/Partner Coordination: Prep the founder for calls with briefs and agendas, and log action items in ClickUp afterward.
• Content & Project Support: Track deliverables tied to marketing (YouTube, SEO content, client projects) and coordinate with the Ops Manager to keep them moving.
• Founder Enablement: Keep the founder’s head clear by running point on admin, communication, and scheduling details so they can stay focused on growth.
• Anticipation > Reaction: Be 3 steps ahead — see bottlenecks before they happen, prep resources in advance, and flag deadlines early.
What the Day-to-Day Looks Like
Each day, you’ll prepare a Daily Rundown Report for the founder that includes:
• A summary of important emails/messages that need attention (with draft replies ready).
• A list of upcoming meetings + key briefing notes.
• A clear overview of top priorities for the day/week.
• What you are handling directly, and your plan for moving those items forward.
Throughout the day, you will:
• Respond to inbound inquiries and only escalate what truly requires founder input.
• Keep the calendar clean and protected — adding buffers, rescheduling as needed, and ensuring priorities are followed.
• Track tasks and deadlines in ClickUp to ensure nothing slips.
• Coordinate with the Ops Manager to keep client deliverables aligned with founder commitments.
• End the day by flagging anything unresolved or urgent for the next morning.
Required Skills & Experience
• 2+ years EA/PA experience supporting a founder, CEO, or executive.
• Experience in digital-first businesses (marketing agencies, SaaS, consulting, or online services).
• Strong command of Google Workspace (Calendar, Gmail, Docs, Sheets, Drive).
• Proficient with project/task management tools (ClickUp preferred, Asana/Monday/Trello okay).
• Tech-forward — comfortable with AI tools, CRMs, and automations (ChatGPT, Zapier, ActiveCampaign, etc).
• Excellent written communication — polished, professional, and personable across email, LinkedIn, and client-facing channels.
• Calendar-obsessed and checklist-driven: You naturally run your life and work out of systems, and you love it.
• Highly organized, detail-oriented, and proactive — you anticipate needs, not just react.
• U.S.-based with reliable overlap in California working hours.

Compensation
• $25–$30/hr DOE
• 10–15 hrs/week, flexible schedule with California overlap
• Remote, U.S.-based only

Pay: $23.00 – $28.00 per hour
