About the Role

We’re seeking an experienced Senior Executive Assistant to support our President in shaping the future of clinical data management. As a key member of our team, you’ll play a crucial role in coordinating calendars, managing emails, scheduling and overseeing virtual meetings, and preparing meeting agendas. If you’re a proactive and organized individual with excellent communication skills, we want to hear from you.

Key Responsibilities

  • Handle a broad range of complex administrative tasks to support the President, including:
    • Coordinating calendars and scheduling meetings, phone calls, and virtual meetings
    • Preparing meeting agendas and taking accurate minutes for high-profile projects
    • Managing project documents in line with our file management policies
    • Displaying a commitment to learning and familiarizing yourself with clinical or technical subjects
  • Act as a gatekeeper, efficiently managing access to the President to ensure productivity
  • Organize and manage the President’s schedule, ensuring the right participants are in attendance
  • Take responsibility for email management, prioritizing incoming emails and maintaining a clean inbox
  • Show impeccable attention to detail in managing time sheets and company documentation

Travel Requirement

Regular weekly local travel to our Clifton, VA office is necessary. As a remote worker, you’ll need to be based in Northern, VA for necessary local travel.

Skills and Qualifications

  • 7-10 years of administrative support experience, particularly in roles supporting C-Suite executives
  • Exceptional problem-solving capabilities and the ability to manage multiple priorities calmly and professionally
  • Strong organizational skills and the ability to work independently in a virtual environment, meeting deadlines efficiently
  • Excellent communication skills, both written and verbal, and the ability to work effectively with a diverse range of team members
  • Proficiency in Microsoft O365 Suite and experience with MS Teams are essential

Education Requirements

A Master’s Degree, a Bachelor’s Degree plus 2 years of relevant experience, or 4 years of relevant experience is required.

  • A high-speed internet connection is required
  • Ability to work in a fully virtual environment
