Professional family in Pittsburgh seeking a calm, detail-oriented executive assistant to coordinate oncology care and household admin. The role is remote with regular phone/email work during Eastern hours. Discretion and excellent bedside manner are essential. Potential to expand into broader family support over time.
What you will do
Coordinate medical appointments, confirmations, and follow-ups across providers.
Manage records requests and organize labs, imaging, and visit summaries in shared folders.
Liaise with nurse navigators and office staff to keep care moving on schedule.
Research and track clinical trials using reputable sources, build a shortlist, and drive weekly follow-ups.
Arrange transportation as needed and keep a tidy calendar with holds, prep notes, and locations.
Help with other household tasks as needed
Must have
2+ years in executive assistance, care coordination, patient advocacy, or medical office administration.
Confident phone presence with hospitals, specialty clinics, and insurers.
Strong organizational and technology skills.
High discretion, reliability, and empathy with older adults who are low tech.
Availability during Eastern business hours and quick response times.
Hours and rate
10–15 hours per month to start with room for expansion as we see success working together
$25–35 per hour on hourly contract
Contract to expand if it is a fit
