Job Overview
We are seeking an enthusiastic virtual assistant to provide administrative support to our team while working remotely. As a Virtual Assistant at No Typical Moments, you will perform various administrative tasks, including answering emails, scheduling meetings and managing certain workflows within the business. For this role, a strong Internet connection is required as well as the ability to handle administrative projects and deliver high-quality work under minimum supervision. This person will ideally have a roster of other virtual assistant clients/projects that they manage alongside this role. Responsibilities:
 Responding to emails and phone calls
 Scheduling meetings
 Attends meetings and takes minutes
 Organizing managers calendars
 Organizing presentation materials, as assigned
 Managing Team Birthday Notices
 Managing thank you cards for new clients, podcast guests, referral partners
 Writing and Editing Weekly Podcast Episodes
 Monthly Newsletter Sending
 LinkedIn Newsletters
 Handling Podcast Communications with Contractors
 Preparing, formatting and editing a range of documents
 Providing customer service as first point of contact
 Designing/formatting case studies
 Manages company wide announcements for holidays
 Maintaining Quarterly Survey and Client Gift Sending spreadsheets
Qualifications:
 Proven experience as a Virtual Assistant or relevant role
 Available and checking email throughout the work day, is flexible, and is able to be available for prompt follow up for time sensitive emails and scheduling
 Experience with word-processing software and spreadsheets (e.g. Google Drive, Google Sheets, Google Docs, MS Office)
 Knowledge of online calendars and scheduling (e.g. Google Calendar)
 Excellent phone, email and instant messaging communication skills
 Excellent time management skills
 Excellent organizational skills including attention to detail and multi-tasking skills
 Self-starter who is comfortable working in a virtual capacity and self-managing
 Experience with Zoom and TeamworkPM software a plus
