About the position
Responsibilities
• Receives and screens telephone calls, emails, letters, and visitors, responding to routine requests for information and referring more complex matters to appropriate person.
• Answers routine and complex questions and furnishes information as needed.
• Organizes and maintains records for the Crime Lab, which includes five (5) areas.
• Creates forms, memos and letters of a technical and/or highly confidential nature.
• Assembles relevant data and prepares special reports.
• Prepares documents in response to requests, subpoenas, etc.
• Assists law enforcement agencies, attorneys, and Justice of the Peace offices in various counties with pertinent information.
• Prepares a monthly billing report for the Crime Lab.
• Maintains records of testing performed by the Crime Lab, and compiles data for statistical reporting.
• Uploads Crime Lab reports to LIMS and distributes to requesting law enforcement agencies and ME staff.
• Coordinates schedules of interns rotating through the laboratories.
• Prepares annual statistics for Forensic Administrator, updating stats using spreadsheet.
• Performs medical transcription of autopsy reports and issues cremation permits.
• Assists the Crime Laboratory Director with special projects.
• Assists the Quality Manager with maintaining compliance data and with special projects.
• Acts as backup when the Toxicology Lab Secretary is out of the office including documenting, uploading, and distributing Toxicology reports and making new case files.
• Prepares death certificates, which requires using the Texas Electronic Registration system mandated by the State, and prepares amended death certificates.
• Schedules appointments for Crime Lab Supervisor and Chief Toxicologist.
• Prepares court documents for Crime Lab Supervisor & Chief Toxicologist.
• Prepares and maintains quality control forms for the laboratories as required by ASCLD.
• Prepares lab specimens to be sent to other laboratories for additional testing.
• Notarizes documents for laboratory staff.
• Reserves meeting rooms for laboratory personnel.
• Performs other related duties as assigned.
Requirements
• High school diploma or equivalent.
• Four (4) full-time years of related work experience including two (2) years of full-time transcriptionist experience.
• Experience as a medical secretary and knowledge of medical terminology.
• Ability to use word processing and spreadsheet software.
• Typing speed of 55 WPM or higher.
• Good communication skills and ability to handle multiple tasks.
• Ability to operate standard and automated office equipment.
