The ideal candidate is efficient, ambitious and polished. They have meticulous attention to detail and are highly organized. This role is firm/team support, working at the direction of the Chief Operating Officer. Candidates should enjoy an entrepreneurial and fast paced atmosphere. · Embrace ownership of the position and the role in helping the firm · Strict adherence to compliance and client confidentiality · Data Entry, general maintenance of client management systems · Maintaining and updating client files with extreme accuracy and adherence to HI PPA guidelines · Triage and follow through with email/voicemail for multiple inboxes. · Make travel arrangements, registrations, itineraries, etc. for the team · Manage and coordinate meetings: logistics, agendas, and track follow up · Follow all guidelines for documenting client interactions, assist in preparation of internal & external compliance reviews, secure filing of relevant client documents · Create and execute repeatable, systemized processes to be efficient and effective · Cross train with the COO/additional team members to assist as-needed Desired Role Impacts Beyond the essential responsibilities, an effective Firm Administrator has a significant impact on the culture and performance of the organization by bringing skills with a high attention to detail and follow-through.
