Job Title: Part-Time Controller (20 hrs/week) — Xero • Reporting • Process & Team Leadership
About Us
We’re a fast-growing U.S.-headquartered health-tech SaaS provider with a fully remote, global workforce. Thousands of customer transactions flow through our platform each week, and we need crystal-clear financial visibility to match our operational scale.
You’ll step in as the senior-most finance professional and lead a lean team that already includes:
Bookkeeper (off-shore) — daily transactions & reconciliations
Finance Manager (off-shore) — AP/AR & collections
The Role (20 hrs / wk, 4-day set schedule)
Schedule: Four consistent weekdays, ~5 hrs per day. You must overlap 9 AM – 1 PM U.S. Mountain Time (UTC-6) for team coaching and leadership syncs.
Team Leadership: Manage & mentor the Bookkeeper and Finance Manager—review work, enforce checklists, up-level skills.
Reporting & Analysis: Build weekly flash reports and a robust monthly management pack (P&L, BS, CF, KPIs, variance analysis). Bridge Xero’s gaps with Excel/Google Sheets dashboards.
Process Design: Own month-end close, revenue recognition, invoice imports (large CSV exports → Xero), and internal controls for audit readiness.
Key Projects (first 120 days)
-General Ledger Rework – Redesign the chart of accounts, reclass historical entries, and align structure with SaaS best practices.
-Accrual Accounting Review – Standardize accrual procedures (revenues, expenses, payroll) and train the team.
-Depreciation & Asset Review – Validate the fixed-asset register and automate GAAP-compliant depreciation.
-Financial Reporting Optimization – Reconcile IS, BS, CF; create exportable, source-linked Excel reports, and month-end templates.
-Forecasting & Budgeting Infrastructure – Build a scenario-based model; document monthly/quarterly/annual budget workflows.
-Cash-Flow Management – Implement a weekly cash forecast that ties directly to banking and AR/AP data.
Exclusions:
No platform change (we stay on Xero).
You’re not expected to serve as day-to-day bookkeeper.
No ERP or third-party tools beyond Xero, Stripe, Mercury Bank, or our in-house platform.
Must-Have Qualifications
Controller / Sr. Accounting experience (5+ yrs) in SaaS, healthcare, or other high-volume transactional businesses.
Xero power user (bulk imports, tracking categories, advanced reconciliations).
U.S. GAAP SaaS revenue-recognition background.
Advanced Excel / Google Sheets (Power Query, pivot tables, nested formulas; macros a plus).
Remote team leadership—clear SOP writing and asynchronous communication discipline.
Fluent spoken & written English; reliable video-call setup.
